The Student Relations and Affairs Section attempts to fulfill the vision of the Community College of Qatar by providing comprehensive electronic services designed to meet student needs and enhance their academic experience. The section fully follows the college's policies and regulations to ensure the effective operation of the educational process.

Services provided by the section include:
  • Issue student academic records (Transcript).
  • Course equivalency evaluations from Qatar University and other academic institutions.
  • Grade modifications ("Incomplete" status).
  • Roll students' academic status.
  • Graduation procedures and requirements.
  • Issuing official documents for graduates such as graduation statements, diplomas, letters of expected graduation, and verification letters for external entities.
  • Providing various additional student services.

Academic Transcript
The academic transcript reflects the student's academic performance and includes all courses taken since enrolling at the college, along with grades, evaluations, and the student’s academic standing. The Community College of Qatar adopts a letter-based grading system, where numerical grades obtained by students in each course are converted into corresponding letter grades, as outlined in the following table, accompanied by descriptions in Arabic. These grades are calculated into the Grade Point Average (GPA), a numeric scale ranging from 1 to 4, reflecting the student’s overall academic performance across all completed courses (excluding Foundation Program courses).

Course Equivalency from Accredited Academic Institutions

Students may apply for the equivalency of courses completed at accredited academic institutions, according to the following conditions:
  • The student must have earned a grade of “C” or higher based on the Community College of Qatar’s grading system or its equivalent.
  • Courses completed more than five years prior to the student’s interruption from study are not eligible, unless the student has earned an Associate Diploma or Bachelor’s degree from an accredited institution.
  • Foundation-level courses that are not part of the student’s credit hours or academic degree plan cannot be transferred.
  • Diploma students: They are required to complete at least 18 credit hours at the Community College, with the possibility of transferring up to 42 credit hours, provided that the final 18 credit hours are completed at the Community College.
  • Bachelor’s students: They are required to complete at least 48 credit hours at the Community College, with the possibility of transferring up to 72 credit hours, provided that the final 30 credit hours are completed at the Community College.
  • Transferred credits do not count toward the student’s GPA at the college, except for previous studies completed at the Community College of Qatar.

How to Apply:
  • Submit the request along with official documents, the academic plan, and course descriptions from previous institutions via email to: sar.transfer@ccq.edu.qa.
  • Response time: within a maximum of two months after all required approvals are completed.
  • Once approved, the original transcript must be submitted to the Student Relations and Affairs Section at the college.
  • Approved equivalencies will be reflected on the academic transcript in the following semester.
  • All required documents must be submitted to avoid cancellation of the request.
The college sets annual deadlines for submitting equivalency requests, which are announced on the Academic Calendar's page​, shared with college members, and regularly updated on the official website.

Incomplete Grade (I) Policy

A student may be assigned an Incomplete (I) grade in a course if they have been consistently attending and completing coursework throughout the semester but were unable to fulfill all course requirements due to exceptional or compelling circumstances.
To be eligible for this grade, the student must:
  • Submit an acceptable excuse explaining the reason for not completing the required work.
  • Obtain approval from both the course instructor and the department chair within 48 hours after the final exam deadline.
  • If the reason is medical, provide an official medical report from an accredited health center or from Hamad Medical Corporation.
If the student misses the final exam without submitting an acceptable excuse, they will be assigned a Fail due to Absence (FA) grade.

How to Update the Grade:
If the student received an Incomplete grade due to missing the final exam, they must contact the course instructor directly to schedule a make-up exam.
The deadline to resolve and update the grade is within two weeks of the start of the following semester.
Once the required work or exams are completed, the instructor will submit the final grade, subject to approval by the department chair.

If the grade is not updated within the specified timeframe, it will automatically convert to Fail (F).
Only the Vice President for Academic Affairs has the authority to grant an extension to this deadline.

Student Academic Standing

A student’s academic standing is determined according to the academic regulations of the college, based on their cumulative GPA and the number of earned credit hours. 


The academic standing categories are as follows:​

Outstanding Academic Performance

Outstanding academic performance reflects a student’s excellence in their studies, discipline, and ability to apply knowledge effectively. It includes achieving high grades, engaging positively with faculty and peers, and actively participating in academic activities. Outstanding students are encouraged to continue developing their skills and expanding their knowledge to contribute positively to their communities.

Dean’s List
The Dean’s List is an academic honor awarded to students in recognition of their outstanding achievements. It is issued by the deans of the various academic divisions at the end of the fall and spring semesters.
To qualify for the Dean’s List, a student must meet the following criteria:
  • Complete 12 or more credit hours during the fall or spring semester.
  • Achieve a semester GPA of 3.6 or higher.
  • Maintain an academic record free of any violations of the college’s policies or regulations.

Honor List
The Honor List is a university-wide recognition for students who demonstrate outstanding academic performance. It is announced at the end of the fall and spring semesters, and students’ names are included on the semester transcript as proof of meeting the required standards.
To qualify for the Honor List, a student must meet the following criteria:
  • Complete 12 or more credit hours during the fall or spring semester.
  • Achieve a semester GPA between 3.35 and 3.59.
  • Maintain an academic record free of any violations of the college’s policies or regulations.

Graduation

To graduate from the Community College of Qatar, students must fulfill all requirements of their enrolled degree program based on the following conditions:
  • Associate degree: Complete all required credit hours for the program, including a minimum of 18 credit hours completed at the College.
  • Bachelor’s Degree: Complete all required credit hours for the program, including a minimum of 48 credit hours completed at the College.
  • Flfill all academic plan requirements for the enrolled program.
  • Achieve a minimum cumulative GPA of 2.0.
These conditions ensure that the student has met all academic standards required to be awarded the appropriate degree from the College.

Graduation postpone Request
Students who have completed all academic plan requirements may request to postpone their graduation for up to one academic year.
During this period, students are allowed to re-register for courses in accordance with the College’s course retake policy.

Important Note: The postponed period is not counted toward the maximum time allowed to complete graduation requirements.
The Admissions and Registration department – Student Relations and Affairs Section is responsible for managing the procedures and deadlines for graduation deferral requests, which are announced periodically to expected graduates.

Minimum Credit Hours Required for Graduation
Each academic program at the College has a defined degree plan outlining the number of credit hours required for graduation.
Once these requirements are met, students are awarded their academic degree, either an associate or a bachelor’s degree—based on the type of program.

Request for Official Documents for Graduates

Graduation Statement
At the end of each academic semester (Spring, Fall, Summer), the Student Relations and Affairs Section issues graduation statements to students who have successfully completed all graduation requirements for that term.

The dates for collecting these documents are announced in advance to allow students to plan accordingly.

Graduation Certificate 
it is an official graduation certificate issued and signed by the College President.
Each student is permitted to receive one original copy only of the certificate after fulfilling all graduation requirements.

Expected Graduation Letter
In coordination with the Academic Advising Department, the Student Relations and Affairs Section issues an official Expected Graduation Letter for eligible students.

This letter includes:
  • The expected graduation semester
  • The current major
  • The number of remaining credit hours to complete graduation requirements
The letter serves as an official document to verify the student’s academic status when required by external parties.

To obtain the letter, the student must fill out a designated form in coordination with the Academic Advising Department, based on their degree plan, and submit it to the Student Relations and Affairs Section for processing.

Verification Letters for External Entities
The Student Relations and Affairs Section also issues official letters addressed to external parties—such as embassies or educational institutions—confirming a student’s academic information, degree earned, and status.

These letters are issued upon the student’s consent and after submitting the Data Disclosure Form​.


Other Services

​​Updating Personal Information
The Student Relations and Affairs Section updates student information (such as name or nationality) upon the student’s request. To request an update, the student must complete the Data Update Request Form​ and submit it to the section along with a valid ID card and official documents from the competent authorities confirming the name or nationality change.

Academic Appeals
The Student Relations and Affairs Section is responsible for receiving all academic appeal requests and forwarding them to the appointed committee.

Academic appeals may cover issues such as:
  • Appeals against final grades.
  • Cases involving improper application of academic regulations.
The Admissions and Registration Directorate – Student Relations and Affairs Section periodically announces the procedures and deadlines for submitting academic appeals.

Education Fee Waiver Requests
The email fees.committee@ccq.edu.qa is designated exclusively for receiving requests related to tuition fee waivers.
Please ensure you attach the required supporting documents, noting the following:
  • The committee will not review any request submitted without official documentation.
  • The date on the submitted document must match the academic withdrawal date.

Accepted Supporting Documents:
  • Medical report from Hamad Medical Corporation or one of its affiliated centers.
  • Death certificate of a first-degree relative.
  • Official work obligation letter from the employer.
  • Official documentation for overseas treatment or accompanying a patient for treatment abroad, including travel dates.
  • Medical leave from Hamad Medical Corporation or one of its centers, for no less than 5 consecutive days.

To avoid delays, students may pay the outstanding fees to lift holds on their account and request a refund later if the waiver is approved.

Academic Standing

​​​Academic standing at CCQ is normally assessed at the end of each term excluding summer. This determines whether students can continue their studies or not. Different grade point averagecalculations are used in determining academic standing- Semester Grade Point Average (GPA) Includes grades earned in all courses at the end of each semester.- Cumulative GPA Includes grades earned in all college-level credit courses at CCQ.There are four types of academic standing- Good Standing A student will be considered to be in good academic standing when the student earns a cumulative GPA of 2.0 or above.- Probation A student will be considered to be on probation when the cumulative GPA is below 2.0 and the earned credits are 12 or above.- Continued Probation A student is placed on continued academic probation when the student’s cumulative GPA is below 2.0 and the term GPA is 2.0 or above.- Suspension A student is placed on an academic suspension for one semester (not including the summer) when- the student’s cumulative GPA drops below 2.0,- the student’s term GPA drops below 2.0, and- he/she has been on continued probation for two consecutive semesters.Procedures to Change Student’s Academic Standing- The student's suspension is removed via "Banner" after referring to the Academic Advising Section and filling out the suspension removal form.- After the removal, the academic suspension is reinstated if the student’s Semester and Accumulative GPAs continues to fall below 2.0 (summer not included).​​​​​​​

​​​​​​The GPA represents the student's overall performance in all the courses that the student has studied since joining the Community College. It also represents the student's grades gained from these core courses (the Foundation Program courses are not calculated).A symbol is given to each grade which is calculated in the total cumulative average for the student, as shown in the table below.​​​

Updating Personal InformationThe Student Affairs & Relations Section updates the student’s data (name - nationality) by asking the student to fill out and submit the Information Update Request to the Student Affairs & Relations Section after showing his/her Qatari ID card and the official documents proving the change of his/her name or nationality. The student’s data will be updated accordingly.Certified LettersUpon student’s consent and after filling out a data release form, and sending an email to students.ar@ccq.edu.qa​​​​, the Student Affairs & Relations Section​ issues letters to external parties, such as embassies and other educational institutions, about the student’s status, academic level, degree, and a letter verifying authenticity of data.​​​​​​​

Archiving and E-Archiving

​​​​​The Student Affairs & Relations Section​​ performs periodic archiving of students’ files and official documents. The Student Affairs & Relations Section​ does that either through depositing students’ information in private files or through e-archiving of the files in the College’s document management system. It also extracts student’s official documents for his/her undergraduate and postgraduate periods, while ensuring accuracy and confidentiality of the student’s records and information.​​

Study Outside CCQ Academic Standing

CCQ students may study outside CCQ, taking into consideration the following- The student’s cumulative GPA 2.0 or higher- Credits may be awarded for courses from an accredited private or public university or college with a grade of Good “C” or better, or a numerical grade of 70 or higher. Such course will be included in the student's study plan but will not be calculated into the GPA.- The course shall be considered for transfer only if the following conditions are met 1) Equivalent course objectives 2) Equivalent educational outcomes3) The content of the transfer course corresponds to 70%, or above, of CCQ’s course content 4) Equivalent number of CCQ’s credit hours or higher- Adherence to the academic load policy- Within the country The total number of hours does not exceed 15 hours in either the community college or any other educational institution, or based on student’s average in the college.- Abroad the student is not allowed to take courses at CCQ. A maximum of 15 credit hours at accepted educational institution, or as per the student’s GPA.- Avoidance of time conflict between classes- Submission a proof of attendance- Avoidance of time conflict between the students’ schedule at the studied university and the academic calendar of CCQ. In case of conflict, the student will be suspended for the subsequent semester.- CCQ may request a verification of the accuracy and authenticity of data from the concerned entities and ensure the level of the university where the student wants to study.In case of any violation of the applicable policies and regulations, CCQ may reject the application and hold the student responsible for such violation.- The student undergoes an exam from the community college upon completion of the course to evaluate their level of academic achievement.Required Documents​- Completed Study Outside CCQ Form- Course content for the courses that the student would like to study- Course description (detailed curriculum plan) for the courses that the student would like to study- Academic calendar of the educational institution where the student will study- Submitting all required documents, along with the form, by email to students.ar@ccq.edu.qa​​​​The application for studying abroad, with all required documents, should be submitted to the relevant academic departments according to the courses. After receiving the response and approval from the academic departments, the Student Affairs & Relations Section​ informs the student of the approval and the course equivalency report, and issues the approval letter for studying abroad (for one semester only) for the approved subjects only.​​​​​​​​

Outstanding Academic Performance

Dean’s ListStudents who complete 12 or more college-level semester hours during the fall or spring semesters with a semester GPA of 3.6 or higher are eligible to receive a Dean’s List Certificate.Honors ListStudents who complete 12 or more college-level semester hours during the fall or spring semesters with a semester GPA of 3.35 to 3.59 are eligible to receive an Honor’s List Certificate.Honors ProgramThe Honors Program seeks to identify, motivate, and mentor high achieving students. Students enrolled in this program will take more challenging honors-level courses to augment their transcripts. Students who wish to gain entry into the program must- Have a minimum cumulative GPA of 3.50- Maintain a clean disciplinary record- Complete an Honors Program application, be accepted into the program, and sign an Honor’s contract- Dean’s Certificate or Honor’s recipients must not have been involved in any disciplinary incidents- Based on the list received from the concerned department, the word “Honor” will be added to the course title, at student level only.​​​​​​

Change of Incomplete Grade

The grade of “I" or “Incomplete" is a temporary grade the student receives if he or she is missing assignments or exams. However, the following conditions must be met in order to receive an 'Incomplete' grade- The student must contact the course instructor within 48 hours from the exam to request an Incomplete Grade.- Students must provide an authentic proof of absence within 7 days of the beginning of the next semester. For spring courses, it will be the following fall.- If all the requirements are not submitted or rejected, the student will be awarded a 'Fail' grade.- The instructor must apply for a change of grade within 30 days of the beginning of the next semester.Conditions for an Incomplete Grade- The student must be currently enrolled in the course(s) in question (prior to grading). The deadline for an automatic “W" grade for the course(s) must have passed.- The student must be passing the course(s) with a 70% grade (student must have completed work of acceptable quality). An “I" grade may not be applied when the student has done poor work or has successfully completed less than 70% of the work for the course.- The student must have (a) legitimate extenuating circumstance(s), such as a severe illness, that prohibits completion of the course. The instructor will consult his or her Department Head and the Dean's Office with any questions regarding legitimacy.- Students are not allowed to “re-take" the course as a condition of the incomplete grade. If the circumstances are such that the student is meeting the requirements of the course at the time of the “I" grade, then only the remainder of the course content must be completed.- The instructor, upon receiving and evaluating the completed work, will record the appropriate grade (ranging from Excellent to Fail) prior to stated deadlines for grading at the end of each respective semester.- “I" grades will revert to an alternate grade assigned by the instructor if the assigned work is not completed within a period designated by the instructor, not to exceed 30 days from the start of the following semester.Procedures for Changing an Incomplete Grade- Retake the exam after obtaining the approval of the department chair and dean of the academic division concerned with changing the grade.- Applications are sent to the Vice President of the College for final approval (only if the deadline for changing the grade of “incomplete" has passed).- The Student Affairs & Relations Section​ receives requests to change the grade during the set period announced each semester by the relevant academic division.- The grades are changed then reflected in "Banner". ​​​​​

Graduation

Graduation RequirementsStudents may graduate according to the catalog degree requirements in effect at the time of first enrollment or any subsequent catalog degree requirements, provided that the degree, the program, and required courses are still being offered, and provided that the student has- Fulfilled all academic and major requirements of the degree program- Completed a minimum of 60 credit hours (according to the hours required for each academic program) for an associate degree; 18 credit hours of residency must be taken at CCQ- Completed a minimum of 120 credit hours for a bachelor's degree, provided that 30 credit hours of them were studied at the Community College of Qatar- Achieved a cumulative grade point average (GPA) of 2.0 at the completion of the degree programs- Students are not required to apply for a graduation application and they are graduated systematically upon the completion of the graduation procedures of the current term, excluding students who have completed the grauation postponing form.Graduates and Expected Graduates Policy1. Expected graduates- If a student wants to obtain the graduation statement and attends the graduation ceremony, they are not required to apply for a graduation application and they will be graduated systematically upon the completion of the graduation procedures of the current term, excluding students who have completed the graduation postponing form- Graduates who apply for graduation are not allowed to register additional courses in the upcoming semesters unless they are accepted to a new program, or excluding students who have completed the graduation postponing form and approved it at the Student Affairs & Relations Section​​.- In the case of postponing graduation the student will not be given the graduation statement or be allowed to attend the graduation ceremony afterwards (excluding students who are accepted to a new program either Associate Degree or Bachelor’s Degree).2. Graduation Postpone ApplicationStudents can postpone their graduation to raise the GPA at the same current program with specific following requirement1. Student is required to apply for the graduation postpone during specific dates at the end of each academic semester.2. The students who applied for graduation postpone are allowed to repeat courses, for one academic year only.3. If the student did not register any courses in the following semester after applying for graduation postpone, will turn their status into Graduated once they completed the graduation requirements.4. In the case of graduation postpone, the student will not be given the graduation statement or allowed to attend the graduation ceremony afterwards (excluding students who are accepted to a new program either Associate Degree or Bachelor’s Degree).3. Student who graduated in previous semesters- Students who have already graduated are not allowed to register additional courses unless they are accepted into a new program.-Students are entitled to get a diploma and a bachelor's degree in a maximum of two academic programs at the Community College of Qatar.Graduation CeremonyIn order to participate in the graduation ceremony, the student must fulfil the following conditions- The student must have completed the requirements of the degree plan.- The GPA must be 2.00 or above.- Only students who have completed all degree requirements at the end of the fall, spring, or summer semester are eligible to participate in the graduation ceremony.- To graduate with honors, the student must achieve a cumulative GPA of 4.The following is the minimum number of hours required to graduate from each academic programEach academic program offered at the Community College has a degree plan that includes a number of earned hours that the student must complete to fulfill the requirements to graduate from the program, and upon that the student gets the degree whether a diploma or a bachelor's degree. The number of earned hours for each program may vary depending on the type of program offered. Transfer of Course Credits from Other Academic Institutions

CCQ may award credits for an academic course that was completed at accredited public and private colleges and universities, upon meeting the following requirements- The academic institution must be recognized and accredited by one of the recognized accreditation bodies, or accredited by the Ministry of Education and Higher Education in Qatar- The student must be previously enrolled in a formal education​. Certificates by affiliation will not be accepted- Coursework taken from a training institute will not be accepted for transfer to CCQ​- If the student’s course follows the European system, it is the student’s responsibility to submit an evaluation of course equivalency in the American system. Students can refer to websites that provide such services, including World Education Services- Non-credit introductory courses, such as competency development in English or Mathematics, or English as a Second Language (English Language Centers) cannot be transferred- Credits may be awarded for courses from an accredited private or public university or college with a grade of Good “C” or better, or a numerical grade of 70 or higher. Such course will be included in the student's study plan but will not be calculated into the GPA- CCQ will not award credits that are older than five years except in the circumstances where the student has completed an associate degree or bachelor's degree from an institution recognized by the Ministry of Education and Higher Education of Qatar.The course shall be considered for transfer only if the following conditions are met1) Equivalent course objectives2) Equivalent educational outcomes3) The content of the transfer course corresponds to 70%, or above, of CCQ’s course content4) Equivalent number of CCQ’s credit hours or higher Associate Degree Students may transfer up to 42 credit hours in the associate degree program. A minimum of 18 credit hours must be taken at CCQ in order to earn an associate degree and the last 18 credit hours must be taken at CCQ.Bachelor's Degree Students may transfer up to 72 credit hours in the bachelor’s degree program. Required DocumentsThe official documents below must be submitted to the Student Affairs & Relations Section or via email SAR.transfer@ccq.edu.qa during the times announced in order to transfer the course credits- If the student has not yet graduated, an official transcript of current grades must be provided in a stamped and sealed envelope- If the student graduated from a university abroad, an equivalency certificate must be obtained from the Ministry of Education and Higher Education. A stamped and a sealed envelope for the transcript is not required- Course description (detailed curriculum plan) for the courses the student completed with a grade of Good “C” (70) or higher- Course content for the courses the student completed with a grade of Good “C” (70) or higher- A copy of a graduation statement if the student was a graduate- A copy of a valid Qatari ID- The application for transfer of course credits is submitted with all required documents to the relevant academic departments according to courses. Upon their approval, the Student Affairs & Relations Section​ informs the student of the approval, the equivalent courses, and the transfer of student’s hours.​​

Issuing of Letters and Official Documents

​​Academic TranscriptThe transcript is a record of a student's academic performance. It contains all the courses that the student has studied since the commencement of his/her study, including the grades obtained and the academic level.The transcript can be requested through "Banner" system. A text message will be sent to the applicant when the transcript is ready to be either emailed or collected in person within two working days. Graduation StatementAt the end of each semester (spring, fall, summer), graduation statements are given to students who graduated according to the times announced. The graduation statements include the student's GPA and program.Students who want more copies of the graduation statement can apply through "Ba​nner". A text message will be sent when the extra copies are ready to be either emailed or collected in person within three working days. Graduation CertificateAfter a student fulfills all the graduation requirements, the Student Affairs & Relations Section prepares the student’s mural certificate. This is the official certificate that is then signed by the CCQ President. Once it is ready, the Student Affairs & Relations Section​ sends an email to the student to collect the certificate.Students are given the certificates after verifying their data and checking their Qatari IDs or passports. Each student is entitled to only one copy of the certificate. ​Expected Graduation LetterIn cooperation with the Academic Advising Section, the student fills out the Expected to Graduate Course Form according to his/her study plan, and then submits it to the Student Affairs & Relations Section in order to obtain an official letter that can be submitted to the concerned authorities, stating student’s expected graduation semester, current major, and​ the number of remaining hours. A text message will be sent when the letter is ready to be either emailed or collected in person within three working days.​​​​​
